Terms of Service

1. Who we are
9tenant is operated by 9TENANT, INC. (“9tenant,” “we,” “us”). 9tenant gives renters a place to keep a record of their tenancy — photos, notes, messages, and documents — and a way to send USPS Certified Mail to their landlord. By creating an account or using 9tenant.com (the “Service”), you agree to these Terms.
2. Not legal advice
9tenant is a documentation and mailing tool, not a law firm, and we are not your attorney. Nothing in the Service — including letter templates, template descriptions, and any text we generate or suggest — is legal advice, and using the Service does not create an attorney–client relationship. Letter templates are general forms; whether and how to use them is your decision. Laws vary by state and city, and deadlines matter. If you have a legal question or dispute, talk to a licensed attorney or a local tenant rights organization.
3. Your account
You must be at least 18 years old and able to form a binding contract to use the Service. You are responsible for the accuracy of the information you provide — especially your own mailing address and your landlord’s name and mailing address, which are printed on mail we send for you. Keep your sign-in credentials secure; you are responsible for activity under your account.
4. The vault and your content
Content you add to your vault — entries, photos, files, and emails you forward to your private 9tenant address — remains yours. You give us the limited license needed to store, process, display, and transmit that content in order to run the Service (for example, rendering your record as a PDF or printing a letter you asked us to mail). We don’t sell your content or use it for advertising.
You agree not to upload content that is unlawful, that infringes someone else’s rights, or that you don’t have permission to store.
5. Certified mail
Sending a certified letter costs one letter credit (currently $25, purchased at checkout). That price covers printing, the envelope, USPS Certified Mail postage, return receipt, and tracking. When you click send, you authorize us and our mailing partner to print and mail the letter exactly as shown in your final preview, addressed to the recipient you provided. The letter is sent in your name and with your return address — you are the sender.
You are solely responsible for the content of letters you send, including custom letters you write yourself. We do not review, edit, or approve letters — template or custom — before mailing; every send requires you to expressly acknowledge that responsibility. A letter we mail on your instruction is your statement, not ours, and mailing it is not legal review.
You must not send content that is abusive, threatening, fraudulent, or unlawful (see Acceptable use below). If we become aware of such content, we may refuse to mail it, suspend your account, or both. If we refuse to mail a letter you have paid for, the credit is returned and you are not charged.
We rely on USPS and a commercial print-and-mail partner for physical delivery. We will make reasonable efforts to dispatch promptly and to surface tracking, but we cannot guarantee USPS delivery times or outcomes.
6. Payments, credits, and refunds
Payments are processed by Stripe; we do not store your card details. A completed purchase adds one letter credit to your account, which is consumed when your letter is dispatched. If a dispatch fails permanently on our side, the credit is automatically returned to your account. Credits have no cash value and are not transferable. If something went wrong with a purchase, contact us at notice@9tenant.com and we will make it right.
7. Acceptable use
You agree not to use the Service to:
- harass, threaten, or defraud anyone;
- send mail with false sender information;
- violate any law, including fair housing, debt collection, and anti-harassment laws;
- probe, disrupt, or overload the Service, or access another user’s data.
We may suspend or terminate accounts that violate these Terms.
8. Your data, export, and deletion
You can export your record as a PDF at any time. You can request deletion of your account and its content by emailing notice@9tenant.com from your account email; see the Privacy Policy for what deletion covers and how long backups persist.
9. Beta service; disclaimers
9tenant is currently a beta service and is provided “as is” and “as available.” To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Service will be uninterrupted, error-free, or that records stored in the Service will be admissible or sufficient for any particular legal purpose. Keep your own copies of critical documents.
10. Limitation of liability
To the fullest extent permitted by law, 9TENANT, INC. and its officers, employees, and partners will not be liable for indirect, incidental, special, consequential, or punitive damages, or for lost profits, lost data, or loss of goodwill, arising out of or relating to the Service. Our total liability for any claim relating to the Service is limited to the greater of $100 or the amount you paid us in the twelve months before the claim arose. Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you.
11. Changes to the Service or these Terms
We may modify the Service or these Terms. If we make material changes to these Terms we will post the updated version here and update the “Last updated” date, and for significant changes we will make reasonable efforts to notify you (for example, by email). Continuing to use the Service after changes take effect means you accept them.
12. Governing law and disputes
These Terms are governed by the laws of the Commonwealth of Massachusetts, without regard to conflict-of-law rules. Disputes will be resolved in the state or federal courts located in Massachusetts, and you consent to their jurisdiction. If any provision of these Terms is found unenforceable, the rest remains in effect.
